Vacancy Office Manager
Kunstinstituut Melly is looking for an enthusiastic Office Manager to support our team for 16-20 hours per week.
As Office Manager, you contribute to the smooth running of our daily office operations and our (rental) events. You enjoy working behind the scenes, making sure everything is well organised, from managing office supplies to preparing event logistics and supporting colleagues across the organisation.
Working closely with the Community Relations & Operations Manager, Hospitality Coordinator, Financial Controller and other teams, you help create a professional, welcoming and efficient working environment.
YOUR TASKS
Office Management & Administration
• Coordinate the day-to-day operation of the office and shared workspaces, ensuring a welcoming and well-organised working environment;
• Manage the general office email, incoming and outgoing post, and route enquiries to the appropriate colleagues;
• Order and maintain office and kitchen supplies;
• Coordinate catering and practical arrangements during exhibition installation periods;
• Manage key administration, office logistics and support safety procedures;
• Maintain visitor data and other administrative systems;
• Assist with invoice processing, reporting and budget administration;
• Respond to general enquiries and provide administrative support across the organisation;
• Identify opportunities to improve office procedures and administrative workflows.
Event Coordination
• Support the preparation, execution and follow up of space rentals;
• Coordinate event planning, schedules and production documents;
• Coordinate catering, technical requirements and other event logistics;
• Help organise suppliers and external service providers;
• Process event related administration, including rental bookings and invoicing;
• Ensure event spaces are welcoming, accessible and ready for visitors.
YOU ARE
• Organised, service-oriented, and reliable;
• Energised by working in a dynamic environment where no two days are the same;
• Comfortable managing multiple priorities while maintaining accuracy and attention to detail;
• Proactive, practical, and able to take initiative independently;
• Experienced in administrative work, with strong organisational skills;
• Experienced with Microsoft Office and digital administration systems;
• Proficient in Dutch and English, both spoken and written;
• Interested in contemporary art and culture;
• Living in Rotterdam or the surrounding area.
WE OFFER
• A 16-20 hour work week;
• A one-year contract, with the prospect of extension;
• Salary in accordance with the De Zaak Nu guidelines for job and salary structures in visual arts institutions, between €2824 - € 3100, and 8% vacation allowance;
• 25 vacation days (based on full-time employment, 38 hrs);
